Month-end contributions: why matching payroll deductions to members goes wrong

When contributions arrive as a payroll deduction list, the hard part is matching every line to the right member. KoopManager matches the list for you and puts only the exceptions in front of the Exco.

The problem: the list never matches the register

Each month the employer's payroll office sends a deduction list. The cooperative's register was built separately, so the two rarely line up: names are spelled differently, staff numbers are missing, someone has joined or left. The officer who receives the list spends the evening matching lines by eye and retyping amounts.

Who feels it

  • Officers lose hours to re-keying, and every retyped line is a chance for an error, or for the same list to be posted twice.
  • Members see the deduction leave their pay, then wait to see it in their savings, with no way to tell where the delay is.

How KoopManager resolves it

The Exco uploads the list as it arrives. KoopManager matches each line to a member, and only the lines it cannot match are left for a decision: skip them, or add the person as a new member. A month can be completed only once, so a list cannot be posted twice, and every credited member gets an email, so members stop having to ask. Societies that keep savings and loan repayments separate choose how each contribution is split, and payroll integration is available on request.

Month-end becomes a review instead of a typing job.
