Request account and data deletion
App: KoopManager (Android app and web) · Developer: Koop Software Limited (RC 9394956)
This page explains how to ask us to delete your KoopManager account and the personal data linked to it. You do not need to log in to make a request.
How to request deletion
- Send an email to admin@koopmanager.com with the subject “KoopManager account and data deletion request”. The link opens an email with the details we need already listed.
- Write from the email address registered on your KoopManager account. If you cannot, tell us the registered email and your society’s name so we can verify you another way.
- Include your full name, your cooperative society’s name, your role (member or Exco administrator), and whether you want your whole account deleted or only specific records.
- We will reply to confirm who you are and tell you what will be deleted and what has to be kept (see below). We may ask for more detail before acting.
Members and cooperative societies
KoopManager is used by cooperative societies. For most member data (name, contact details, savings, loans, guarantees and transactions), your society is the data controller and KoopManager processes the data on its instructions. For a member’s request, we will therefore involve your society’s administrators. You can also ask your society’s Exco directly; an administrator can close a member’s account inside KoopManager.
If you are an Exco administrator and want your whole society’s account and records removed, say so in the request. We will confirm with the society’s registered administrators before deleting anything.
What can be deleted
- Your login account: display name, email address, phone number and password hash.
- Profile details and uploaded files linked to your account, such as an avatar.
- Push notification subscription tokens for your devices.
- Personal details held on your member record, where this does not conflict with the records we must keep.
What we may have to keep
Savings, loan, repayment, guarantee and ledger entries are financial records of your cooperative society. Deleting them would break the society’s accounts and audit trail, and a society may owe legal, accounting and audit obligations over them. Where such records must stay, we keep them, remove or detach the personal details we are able to, and tell you what was kept and why. This follows the retention terms in our Privacy Policy, which keeps records for as long as needed to meet legal, accounting and audit-trail obligations.
Complaints
If you are not satisfied with how a request is handled, you may complain to the Nigeria Data Protection Commission (NDPC).
